Dame Kelly Holmes Trust ‘Champions Ball’ Terms and Conditions 

By agreeing to these Terms & Conditions you understand that you are registering to attend an event ‘Champions Ball’, managed by Dame Kelly Holmes Trust and all fees associated with your booking of the event are payable in full. You may register and book on behalf of others, however you are deemed to be liable for all associated fees, for all event guests you register. 

For the purpose of this document ‘Dame Kelly Holmes Trust’ (Charity) and ‘The Champions Ball’ (Event). 

Booking confirmation 

On completion of your booking, a confirmation email will be sent to your nominated email address. Please check your booking carefully. Should an error have been made, please contact us within 24 hours via fundraising@damekellyholmestrust.org to withdraw or amend your booking. Should you not contact us within 24 hours, please see booking cancellation terms below for further details. 

 Once booking has been completed an invoice will be emailed to you for payment. Payment of your booking is due within 14 days of receiving the invoice. If payment is not received, we reserve the right to release the booking. 

The event is due to be held on Thursday 23rd May 2024, at the Landmark Hotel, London. 

Terms and Conditions 

1. Table Sales and Responsibilities 

1.1. When purchasing a table for 10 guests, for the Event, the buyer is responsible for all places and associated costs related to the booking, regardless of whether all places are filled. 

1.2 All attendees need to be of the legal age of 18 years, as alcohol will be served, ID may be requested. 

1.3 There are multiple ways to fundraise for the Charity; if a financial commitment is made, guests/participants will be expected to pay.   

1.4 Medical conditions, accessibility & food intolerances: it is the responsibility of the person making the booking to notify us of any special requests, including but not limited to, medical conditions, disabilities, wheelchair access or food intolerances and we will provide the necessary information. 

2. Ticket Sales and Refunds 

2.1. All tickets purchased for the Event are non-refundable, except in special circumstances, which will be considered at the discretion of the Charity. Requests will be evaluated on a case-by-case basis by the Charity and supporting documentation may be required. 

3. Cancellation by the Charity 

3.1. In the event that the Charity must cancel or change the date of the event, for any reason except due to a force majeure event, all ticket holders and table buyers will be refunded in full. 

4. Rescheduling of the Event 

4.1. If the Event needs to be rescheduled to a new date, all ticket holders and table buyers will be given a 14-day window to confirm their attendance for the rescheduled date. 

4.2. If a ticket holder or table buyer is unable to attend the rescheduled Event and notifies the Charity within 14 days of the rescheduled date announcement, they will be entitled to a full refund. 

5. Force Majeure 

5.1 For the purpose of this provision force majeure event means any event that is beyond the reasonable control of the Charity, including (without limitation) supplier or contractor failure, venue damage or cancellation, health scares, epidemics, speaker or performer or entertainment cancellation, failure or problems with public utility suppliers, failure of computer equipment, withdrawal of sponsor or partner, industrial dispute, national emergency, governmental regulations or actions, military action, fire, flood, disaster, civil riot, acts of terrorism or war. 

5.2 Where a force majeure event has or may have, in the Charity’s discretion, an adverse impact on the ability for the Charity to hold the event at the planned venue or on the planned date, or the event generally, the Charity shall be entitled but not obliged to provide an alternative venue for the event and/or reschedule the event. Any payment received by the Charity from you for the event shall be applied to any rescheduled event, but you will not be entitled to a refund if the event is moved to an alternative venue, rescheduled or cancelled. 

5.3 To the fullest extent permitted by law, the Charity shall not be liable to you for any loss, delay, damage or other lability incurred resulting from or arising in connection with the cancellation or date change of the event howsoever arising or any venue change. 

6. Contact and Communication  

6.1. It is the responsibility of ticket holders and table buyers to ensure that the Charity has their accurate contact information for communication regarding the event, including updates, rescheduling, and refunds. 

7. Event participation 

7.1 The Event is formal, and all attendees are expected to adhere to the dress code and conduct themselves in a respectful and considerate manner towards the event staff, volunteers and property.  

7.2 Any inappropriate behaviour or actions witnessed by event staff will be dealt with appropriately; which may include denied entry or ejection from the event.  

8. Liability 

8.1. The Charity is not liable for any loss, injury, or damage to persons or property during the Event. 

8.2 The Charity is not responsible for any associated event costs including taxis, accommodation, travel etc. outside of the ticket price. 

9. Amendments to Terms and Conditions 

9.1. The Charity reserves the right to amend these terms and conditions at any time. Any changes will be communicated to ticket holders and table buyers. 

10. Acceptance of Terms and Conditions 

10.1. By purchasing tickets or tables for the Event, attendees acknowledge and accept these terms and conditions. 

Privacy Policy and Use of Your Information 

Information submitted as part of this booking process will be used to send you information about this event, including ticketing and additional information. From time to time the Charity may send you information we believe may be of interest to you, including invitations to events and/or our newsletter. We will only ever use the information you provide to us in accordance with our Privacy Policy which may be viewed at www.damekellyhomestrust.org . You are able to unsubscribe at any time. 

 In order to make the appropriate arrangements for your attendance for this event we are required to share certain personal details with (a) our venue operator and event suppliers for these arrangements to be made and confirmed; and (b) suppliers of services to us (e.g. IT service providers) where necessary for us to process your personal information and make the relevant arrangements. 

Disclaimer 

The Charity reserves the right to make changes to the event programme at any time as circumstances dictate. Every effort will be made to ensure a programme of equivalent standard and value, should unavoidable changes occur. 

The following conditions of entry apply to all guests. 

  • I understand that the organisers reserve the right to alter the advertised event, change the running order, reschedule or cancel the event if conditions warrant it or otherwise at the organiser’s sole discretion, including for the following reasons: if natural or man-made emergencies make administering the event unreasonable due to weather conditions, natural disaster, acts of god, terrorism, war, pandemics or any other reason (at the organiser’s sole discretion). 

  • I agree to always exhibit appropriate behaviour, including obeying all laws, event rules and directions of event employees and volunteers and I understand that my attendance may be voided if, through my actions or behaviour, (in the opinions of the organisers), I have broken these rules or brought the event into disrepute. I further understand that the organisers reserve the right to reject any entry without having to justify their actions. 

  • I acknowledge that any property (without limitation) that I bring into the event is at my own risk and release the Charity (and its officers, employees, volunteers and contractors) from and against any claim or liability in relation to loss of or damage to such property, even where such loss or damage is caused by negligence, default or breach of contract by the Charity (and its officers, employees, volunteers and contractors). 

  • I grant permission to the Charity, its affiliates and/or contractors to use my photograph, video, multimedia and/or likenesses of me captured during the event by the Charity and its affiliates or contractors, without payment and/or compensation. These items become the sole property of the Charity to use for any legitimate purpose, including but not limited to promoting, advertising and marketing future events.
